RACING SIMULATOR EVENTS
AWAY FROM TAMPA
Almost all of our events are in Tampa Bay, but we take the simulators wherever a booking makes sense: across Florida for conventions, resort meetings and dealership events, and out of state for multi-day activations. Here is how that works and what goes into the quote.
THE SAME EVENT, FURTHER AWAY
An out-of-area event is the same event we run in Tampa: our simulators, our crew, set up inside your load-in window and run for the whole event. What changes is the time on the road, and whether the crew has to stay over. We plan that first, because it decides the cost.
- Send the venue, dates, show hours and the exhibitor or event kit.
- We work out the drive, whether the crew needs to stay over, and whether a separate setup day is needed.
- You get one quote with every line written out, and a deposit holds the date.
WHAT YOU PAY FOR
- Rental. From $800 per simulator for about 4 hours, the same as a local event. Our homepage shows where typical local events land.
- Delivery and mileage. Depends on the distance from Tampa.
- Staffing. Our crew for the full event hours, every day of the event.
- Crew lodging. $745 per day when the crew stays over.
- Setup and teardown day. $1,500, only if the venue needs install or removal on a separate day.
- Add-ons. Leaderboard with lead capture +$300, custom livery $250 per car, simulator wraps $400 to $800 per simulator.
The drive and mileage cost the same whether an event runs one day or three, so multi-day bookings spread that cost out; lodging is added for each night the crew stays over. For a short event far from Tampa, we will tell you honestly if a local supplier would serve you better.

Distances are approximate road miles from 1421 Massaro Blvd and drive times are before traffic. I-4 through Orlando and the bridges across Tampa Bay change the real number more than the map does.
BEYOND FLORIDA
We also travel out of state for multi-day activations, quoted per event. In September 2024 we ran a four-day TAG Heuer event in New York. Out-of-state work is planned job by job, so tell us the city, the dates and how many days the activation runs.
Academy Sim Racing is based in Tampa at 1421 Massaro Blvd. We have one facility, in Tampa, and no offices or branches anywhere else. Every out-of-area event is delivered from our Tampa base and quoted per event.
